Our Compliance Management System (CMS) ensures that we comply with legal regulations while also implementing our internal company guidelines and ethical standards. The board of Index Green Energy Limited is ultimately responsible for the CMS, and the Head of Compliance advises and supports the Executive Board in meeting compliance-related obligations. The Head of Compliance manages and develops the CMS and oversees the Compliance department, which handles all compliance activities.

The Head of Compliance is supported by Local Compliance Coordinators who are responsible for coordinating and monitoring the daily implementation of the CMS in their respective areas. These coordinators possess expertise in compliance risks specific to their

locations and work closely with the Head of Compliance when necessary.

Binding principles for all employees

Our Code of Conduct sets out clear rules of conduct for all employees and managers, reflecting our corporate values and forming the basis of

our corporate culture. We are committed to upholding human rights, international labor standards, and anti-corruption efforts beyond our company.
Involvement of suppliers.

Suppliers are also involved in our compliance efforts through the Supplier Code of Conduct, which establishes compliance standards for our contractual relationships and supplier management. We believe that sustainability must be promoted throughout our supply chains, and we expect our suppliers to act responsibly and uphold social and environmental responsibilities.

To ensure widespread awareness and adherence to these binding regulations, we prioritize employee training. New employees receive training on the Code of Conduct during on-boarding, and managers have access to management training opportunities. We place particular emphasis on informing sales and purchasing employees about corruption prevention and appropriate behavior regarding gifts and invitations. Additionally, area-specific guidelines are developed based on locally applicable internal company policies.

An open ear for everyone.

We value open communication and believe that addressing problems and concerns openly is essential for resolving conflicts. Therefore, we encourage our employees to seek advice promptly on any questions or doubts they may have. The Head of the Compliance department, along with managers and relevant departments such as legal and human resources, is available as a direct contact for compliance issues. We also provide a confidential and anonymous reporting channel through the Index Green whistleblower system. Employees and external parties can report misconduct or compliance violations through a website or toll- free telephone number. The whistleblower system is implemented by an independent external company to ensure the proper recording and processing of reported cases in various languages.

Report compliance violations.

We urge anyone who becomes aware of or suspects a compliance violation to report it through the available channels. We are committed to investigating all reported compliance violations and taking appropriate actions. Each report is carefully examined according to defined procedures, and the results of the investigation and any measures taken are documented and included in internal reporting. In addition to contacting the Head of Compliance directly, individuals can use our anonymous and 24/7 available telephone or web-based whistleblower system free of charge.
